CAPMR 2025 Scientific Meeting

For Authors

CAPM&R Scientific Meeting Submission Instructions:

Fee to submit is US$10 and is non-refundable and not dependent on approval of your submission or attendance at the conference. If you do not already have a Scholastica account you will need to set one up (at no charge). We recommend wherever possible to have the author who will present, if accepted, handle the submission as future correspondence will be with that individual.

DO NOT withdraw a submitted abstract if you need to make changes (if you do then you will be charged an additional non-refundable fee to re-submit). To request an opportunity to revise your submission please forward the confirmation email that you received upon submission, with your requested revisions/revised files, to info@capmr.ca.

  1. Only original submissions will be accepted for review. Abstracts or papers previously presented at another meeting or published in a journal will not be considered (excluding Paper of the Year submissions). All submissions agree to these conditions.

  2. Please review the appropriate POSTER ABSTRACT and CONTEST guidelines and details on the CAPM&R website.

  3. Authors will be asked to categorize their submissions to facilitate peer review and enable award consideration – Categories are listed below and detailed guidelines can be found on the CAPM&R website:
    • Poster Abstract
    • Medical Student Essay Contest
    • Medical Student Research Contest
    • Resident Essay Contest
    • Resident Research Contest
    • Resident Quality Improvement Award contest
    • Paper of the Year

  4. For POSTER ABTRACTS authors will also be asked to identify which sub-category best fits their submission:
    • Original Research
    • Systematic Reviews and Meta-analyses
    • Education
    • Case Study/Report
    • Quality Improvement

  5. CONTEST (Paper of the Year and Medical Student/Resident contest) submissions should use the sub-category “Does not apply – contest submission”

  6. All submissions must include at least TWO FILES:
    a. Main File (blinded unless Paper of the Year); and
    b. Author file.

    All identifying information, such as author names and affiliations, must ONLY appear in the author file. This ensures all reviews are double blind. Figures and tables (optional) may also be uploaded as separate files. THE INFORMATION PROVIDED IN THE METADATA FIELDS FOR AUTHOR (NAME/CREDENTIALS), TITLE, AND ABSTRACT ARE HOW THEY WILL BE PUBLISHED. PLEASE BE CERTAIN THAT ALL INFORMATION MATCHES THE FILES (IE LIST OF AUTHORS IS COMPLETE IN BOTH THE FIELD AND THE FILE, ABSTRACT IS IDENTICAL).

  7. MAIN FILE to contain:

    For POSTER ABSTRACTS:
    a. Title: Please provide a succinct title. Ideally, the title should contain a reference to the study design. (For example: Whole body vibration and osteoarthritis: A retrospective cohort study or Use of restraints during geriatric rehab: A systematic review).
    b. Abstract: Content is to be structured by the following subheadings followed by a colon: Background, Objectives, Methods, Results, Conclusions. Each section is treated as a paragraph with no indents. The abstract should be no more than 2,600 characters.

    For CONTESTS:
    a. Title: Please provide a succinct title. Ideally, the title should contain a reference to the study design. (For example: Whole body vibration and osteoarthritis: A retrospective cohort study or Use of restraints during geriatric rehab: A systematic review).
    b. Abstract: An abstract is mandatory for contest submission. Abstracts are to be structured by the following subheadings followed by a colon: Background, Objectives, Methods, Results, Conclusions. Subheading names to be in bold with each section is treated as a paragraph with no indents (line breaks between, not within, sections). The abstract should be no more than 2,600 characters.
    c. Manuscript: The body of the manuscript (not including abstract or references) should be no more than 4,000 words. The manuscript may include an unlimited number of tables or figures – however the word count allowance will be reduced by 400 words for each table or figure. As an example, a manuscript with 2 figures must be 3,200 words or less.

    For PAPER OF THE YEAR:
    a. Please upload a word or PDF file documenting where/when this paper was published. Only one submission is allowed per author.
    b. Author file with a signed disclaimer stating: “I am the principal investigator/author/contributor to this paper”. If the applicant is not the principal investigator/author/contributor, submit a signed letter stating their participation for consideration by the scientific committee.

  8. AUTHOR FILE to contain:
    a. Author names : First name Middle name/initial Last name. Separate all authors by a comma. There is no need to indicate which author is affiliated with which institution.
    b. Institution Affiliation(s): Institution, Location (city, state/province abbreviation, country)
    c. Funding Acknowledgements, listed as Granting Agency and Number (i.e. Ontario Neurotrauma Foundation #2012-017) d. Other Acknowledgments e. Any information you wish to share with the editors.

  9. OPTIONAL FILES:
    a. Figures. If included, figures should be provided in one of the following formats: jpg, tif, gif, or pdf. Figure files should be named using figure number (i.e. Figure 1.jpg). Figure legends can be embedded in the image or uploaded as a separate file in Microsoft Word. A maximum of 2 figure files will be accepted.
    b. Tables should be provided in Word file using Calibri font.
